Person in charge in Mummy Design: Panda
On the 21st if December 2018, the three students visited Mummy Design in Subang Jaya as a meeting was scheduled a week ago with the marketing person in Mummy Design to discuss on the sponsorship agreements and requirements for Mummy Design. Mummy Design is a printing shop capable of printing different materials and requirements from customers. They are located next to The One Academy and Sunway University. Therefore, most of their customers are University students. Besides, a couple of the writer's previous assignments were printed by Mummy Design as well as they are very efficient.
The reason why Mummy Design was chosen as one of our targeted sponsor for the event is because plenty of promotional material needs to be printed in large quantity. For example, 1000 of entrance ticket, 150 pieces of A5 size posters, event backdrop, 1000 sets of brochures and so on). With an estimated cost for all the printing materials, it might cost up to RM 3,000. Therefore, it would be great if Mummy Design will be able to sponsor the event by providing free printing or discounted printing service.
Although Mummy Design won't be having needing booth on that day or sponsoring the event with financial support, the PR team decided to let Mummy Design receive the benefits of a main sponsor of the event, which is the benefits of sponsors contributing Platinum sponsorship package. This is because with Mummy Design's sponsor, the budget of the event will be lower. The PR team really value the sponsorship of Mummy Design and their help.

Students Having The Meeting With The Person In Charge
The meeting started at 2:15 pm and ended at 3:30 pm. First, the students discuss about all the printing materials they need for the event and further provide with all the measurements, details ( colour, thickness of paper, double sided page etc). The person in charge further recommended the best material for the printing materials of the event to look professional and at the same time stay within the student's budget.
After a discussion, there were certain details that the student needed to be confirmed for their printing materials:
1) The exact measurements of the backdrop stand (so there won't be any mistake from the printed backdrop or problem while setting up the backdrop).
2) Confirmation of materials to be printed from the production team and creative team for the event props.
Requirements from Mummy Design:
In order to get a higher chance of Mummy Design providing a great deal for the event, the student need to come out with a marketing proposal for them within 5 days before their next meeting which is on the 26th December 2018 (Wednesday). Mummy Design have further enforced that they are looking for brand exposure. Therefore they are hoping that the participants will reach the expected number of participants mentioned - 1000 people. Besides, they require the event organizers to set up their banting on the event which the PR team have agreed to have their banting in the event. Furthermore, Mummy Design would like to have low-key advertising in our event. They require the organizers to take pictures of the event and having their logo in the background or visible in the photo.
Here are a list of things the student will presenting in the proposal:
1) A list of confirmed social media influencer that will be promoting their event.
2) A list of confirmed media that will be promoting their brand (if possible).
3) An improvement onto the event's social media account as currently, the number of followers and postings are not convincing for. Mummy Design
4) Other marketing strategies for event ( how the students will be further promoting the event) and prove that the marketing strategy will work on the targeted audience.
Action:
1) The PR team have asked for all team members to reach out to their contacts to enquire if there are any influencer friends that will be promoting the event as this is the quickest way to get a confirmed list out within 4 days. However, the marketing team will still be sending out invites to influencer to come to the event.
2) The marketing team have started sending out all media coverage request letter to medias a week before, hence, the team is in the middle of the process.
3) All team member have been asked to promote their event social media account. The number of follower have increased a total of 70 followers in 2 days (from 30 to 100) and is targeted to reach 150 followers at least on Wednesday.
4) The PR team have decided to create a poster for Mummy Design and stick it around Raffle's campus, giving brand exposure to them. This will be useful for Mummy Design as 80% of the students in Raffles College are design students and each of the students have more than 1 assignments to be printed every semester.
5) The PR team will create a survey through Google Docs, targeting the targeted audience of the event to determine which and where do they usually hang out (cafes, malls etc). This is to prove that the event posters won't be distributed randomly on certain cafes, not reaching out to the correct audience.
6) Mummy Design logo will be printed on all marketing gears.
7) The event organizers will also be posting 10 posts ( 5 for Facebook, 5 for Instagram) for Mummy Design.
In conclusion, the marketing team will be putting their effort on convincing Mummy Design to sponsor the event as much as they can.
