On the set up day, the marketing team arrived on time and started to sort out all documents needed and was overall productive.
Ticket
Problem indicated: The marketing team realized that all tickets received from the printing shop were not arrange accordingly to the serial code.
Action:
The marketing team and a few more students from the other team lend a hand to help sort out the codes in accending order as there are 1000 qty of tickets.
After that, the marketing team moved on to packing all door gifts with the sponsored materials received and collected 1 week to 2 weeks before.
Door gift
Problem indicated: Food Panda, who is one of the sponsors of the event prepared the vouchers at 4pm onset up day and asked the marketing team to collect them before 6pm. The marketing team wasn't able to leave the place at 4pm and reach by 6pm as it was really far from the venue and the traffic hour have started.
Action: The marketing team contacted the person in charge from Food Panda and tried to come out with a solution for the collection of vouchers as the staffs in Food Panda have already left the office by 6pm and there was no one there for us to collect from if we plan to arrive by 7pm. Luckily, Food Panda was having a roadshow at Publika, just right infront of the event venue, Black Box and the marketing team are able to collect the vouchers by 10am on set up day.
Materials
Problem indicated: The marketing team was informed by the other departments that they needed to print more materials such as introduction cards, subculture description cards and so on. Some of them realized that the printed materials were smaller than expected, hence informing the marketing team to print a bigger size instead so the set up could look better. Besides, some materials wasn't printed due to some miscommunications.
Action: 2 members from the marketing team went to the printing shop in Subang to print and all needed materials.
Other than that, the marketing team also set up a table beside the sponsor's booth for fundraising activity that will be contributed to the Spastic Children Association. During the visit to SCAS & FT, the marketing team have asked for handmade cards, bookmarks and a donation box to be sold on the event. All sales will be going back to their organization and Malaysian Youth Now won't be getting any profit out of it.
