ROLES AND RESPONSIBILITIES

Marketing department members: Renee, Yoke Yen, Sean, Darren, Margaret and Stephanie.


During the first meeting of the event, students have chosen the preferred department that they wish to work in to successfully organized the fashion exhibition event. The department chosen by the author is the marketing department along with 5 other students. The marketing department is responsible for the overall marketing strategies and being the spokesperson for the event. Tasks such as producing promotional marketing materials, planning marketing strategies across various platforms, sourcing sponsors to fund the event to receiving media coverage and so on. The marketing department has a total 3 roles which are the PR, social media and marketing. Since there are 6 students in the marketing department, every 2 students will be sharing a single role or title. However, different tasks were allocated to the 2 students who are in the same role. As seen below is the members of social media, marketing and PR.

As seen above is the tasks from the 3 roles ( marketing, social media and PR) that were planned to be carried out throughout the weeks of organizing the event. As seen in the timeline, tasks were colour coded by 3 roles in charged. Tasks such as event proposal, sponsorship sourcing and marketing strategy planning are the first few task that needs to be done in the first 2 weeks. After that, social media marketing, promotions, sponsorship negotiation, sending out invitations ( media and influencers) will be carry out towards the middle of the event planning ( week 8 to week 12 ). A month before the event day, printing of promotional materials, ticket selling, confirmations of participants, sponsors, preparation of door gifts and so on will be taken place. During the event day, the marketing will be responsible of the crowd during the event, sponsor's set up before the event, registration and social media postings throughout the event. The marketing team will also be helping the rest of the teams if help is needed to ensure a smooth event flow. After the event, the PR team will be sending out appreciation letter to the media or influencers who participated and a post release will be written.
