Organizing a workshop was suggested by the lecturer as a Plan B for Marketing team to raise fund for the event instead of raising fund through sponsors only. After a meeting on that day, the marketing team have sent out emails to potential speakers or industry professionals to kindly have a workshop session for free in Raffles College. Emails were sent to fashion stylists, makeup artists, fashion illustrators, sustainable brands, social media content creators and so on which would mainly bring benefit the students through the workshop or someone that the students wish to meet. In the email. there wasn't any requirement or guidelines of what the person invited needed to talk about or do during the workshop. A meeting was initiated with the person invited in the email to discuss about the content and activity of the workshop that best fits both parties.
Problem:
1) Most of them did not reply the email even after messaging them directly in their direct message through Instagram.
2) Some wasn't able to attend as they have something else planned out.
After a week and a half, a fashion illustrator got back to the marketing team and is willing to conduct this workshop for free. After communicating with the fashion illustrator online, the team have found out that she was a UK graduate, participated in multiple exhibitions including New Designers Exhibition in London 2016, worked with brands such as Chanel, Dior, Prestige, Elle Magazine and more. With such achievements, the marketing team proposed to have a sharing session with the students on how her journey started and ways to break into the industry. Other than that, the fashion illustrator's trademark is to combine both digital and traditional medium such as using photography edited in Photoshop and calligraphy Ink together to create a new piece of artwork. By having such sharing session, the participants could be inspired on experimenting with different mediums to create a new piece of art.
Concern raised by team members:
1) If the marketing team were to organize a fashion illustration class, there will be a problem of finding crowd as most of the students have already had illustration classes by the school lecturer.
Action:
The marketing team went on and schedule a meeting with the fashion illustrator to solve this problem. She suggested that the workshop could be a live model drawing session instead of a regular fashion illustration class since live model drawing is something that the students have not experienced previously.
After getting the agreement on each and every team member upon the live model drawing concept, the whole marketing team agreed to go with it. Besides, one of the team member even suggested that the artwork drawn by the participants during the workshop can be featured in the event with their consent since the creative teams struggled to look for young artists work to be featured. In return, the participants will be labelled as young artist and will be awarded with a free entrance.
Through this workshop, the marketing team aimed to generate a total fund of RM1,000 for the event.

After confirming the workshop date and details, the marketing team started to promote the workshop within the school area.

Other than that, posters were created and shared on Malaysian Youth Now's social media and art and craft related groups in Facebook for more exposure.

Reflection: Looking at this post above 2 weeks after the workshop, the author realized that the tone of voice for promoting the workshop was too formal. A friendlier, happier tone of voice would be better and more approachable for strangers.

A total of 27 participants turned for the workshop. The marketing team initially to target 50 participants, however, the team member then realized that 50 participants wasn't a good number as the classroom's capacity is limited and the amount of participants that turned out that day was just nice and suitable as everyone were comfortable in finding a good position and angle to draw. There were 3 more participants that did not turn up as they claimed that something else came up and they were disappointed as well because they are a fan of the fashion illustrator.
The cost for organizing this workshop is slightly expensive than expected as the materials needed such as papers were on the pricier side.
The total expenses for organizing this workshop was RM 320
The net profit gained through this workshop is RM 930. There were left over unused materials after the workshop, hence if the materials were bought is a lesser quantity, the net profit would reach RM1000 which is what the team targeted.
Reflection:
Looking back at it, even though the workshop was a successful activity and almost hit the targeted amount, the marketing team do wish that they had more opportunities and time to go through all the options and ideas that they could raise out to have a better and more interesting event.
