The PR team member have created a draft invitation letter for the event organizers to send to event partners which are the designers, artist and photographers. The format for this invitation letter is similar to the sponsorship request letter. However, she have amended the sections & content for the invitation letter to best suit the purpose of this letter which are loaning clothing items, request to feature photographer's & artist's artworks. Similar to the sponsorship request letter, the wordings in red are meant to be amend by the write to best suit his/ her purpose of sending the letter. The team who mainly will be using this letter is the creative team.

As written above, the creative team needs to mention a few key points which are as follows:
1) The reason of loaning a certain product.
2) The way the product will be displayed, in case the event partner have specific requirements on this aspects.
3) What product / artwork they wish to loan / feature from event partners.
4) Describe how the product / artwork might be suitable for the event.
The reason why the creative team is responsible to liaise with the event partners, but not the PR team is to prevent any miscommunication as the PR team will act as the middle person in this case since the creative team are responsible in deciding the content to be featured for the event. However, the PR team will be more than happy to help out the creative team if they need any documents for a smooth process or help out with liaising with the event partners.
