Hōru EVENT SPACE

Location sourcing is one of the main task needed to be done at the very first stage of organizing an event. The sooner a venue is confirmed and booked, the cheaper will the rental price be. Besides, students are able to book their preferred date. On 16th November 2018 (Friday) at 11A.M., members of marketing team and production team went for a site visit to one of the shortlisted venue which is Hōru event space. Hōru event space is located at 4, Jalan Sungai Besi, Pudu, 57100 Kuala Lumpur, Wilayah Persekutuan Kuala Lumpur, Malaysia (Venuerific, n.d.). Production and marketing team members met the Hōru representative and were brought into the event hall. The interior of the event hall is clean, minimalist, corporate and family friendly (Venuerific, n.d.).

A list of questions were asked by the production and marketing team members to the representative to determine whether the venue is suitable for the fashion exhibition.


QUESTIONS & ANSWERS:

1. What is the rental price for weekends?

Dates: 12th Jan (Sat), 13th Jan (Sun),19th Jan (Sat), 20th Jan (Sun), 26th Jan (Sat) and 27th Jan (Sun)

Answer: All of the dates above are still available for reservations.

The rates for weekends are at RM 4,500 for full day rental (8-10 hours), and RM 3,250 for half day rental (4-6 hours). The rates for weekdays are at RM 3,750 for full day rental (8-10 hours) and RM 2,750 for half day rental (4-6 hours). Student price discounts range from 10% to 15% off the regular rental price.


2. Do they provide sound system? Any additional charges?

Answer: Yes, sound system is included with no additional charges.


3. Does the venue provide projectors? Any additional charges?

Answer: Projectors are available with an additional charges of RM1,200.


4. Do they provide catering services?

Answer: Hōru partners with Kohi Yatta, a Japanese cuisine cafe located beside the event space. Additional charges will be applied depending on the menu selected.


7. How much does it cost?

Answer: Menu attached below.


8. Is there any partitions provided?

Answer: As seen in the photo, the event only caters a partition that separates the hall into two. The partition provided was not the ideal partition for a fashion exhibition.


9. What kind of lighting do they provide?

Answer: The lighting in the event space are ceiling lights and spotlights in yellow.


10. Does the venue allows client to hang props or have wall decorations?

Answer: Yes, however clients need to be extra careful to prevent causing any damage to the walls, furniture and so on.


11. Get floor plan from event representative.

Answer: Floor plan as attached below.


12. Is there any security guarding the event space?

Answer: Yes, the place is guarded 24 hours.


13. Is there any storage rooms?

Answer: Yes, however the size is rather small.


14. Any additional charges for set up and tear down?

Answer: Clients are suppose to pay for additional charges, however the representative is able to wave the additional charges for students.


Additional information:

Amenities provided by the event space are 10 banquet tables, chairs, free wifi access and movable stage, parking access and air conditioning. Besides, the sitting capacity of the event space is 20-170 people while standing capacity is 50-250 people (Venuerific, n.d.).


PROS & CONS OF EVENT AREA

PROS:

- The event location is only a 15 minutes drive from the city center.

- The event location is spacious.

- There are big glass windows that provide the event hall a desired amount of natural light.

- The event space provides student price.

- Basic sound system is provided without additional charges.

- Event space includes a washroom and storage room.

- A cafe is located right beside the event space.

- The event space is guarded 24 hours.


CONS:

- The event space provides limited parking.

- Heavy decorations and props are needed to be outsourced to make the event space to look like a fashion exhibition.

- Partitions or blocks are not provided.

- Unable to hand props as there were no tubes or pillars on the ceiling.

- The event space is a little to big for showcasing only 3 subcultures as discussed.

This blog post summarize the site visit to Hōru event space. A meeting will be held on 19th November 2018 (Monday) to further discuss about the event and compare a few different venue visited by other team members.
