FLOOR PLAN

On week 8, the students visited MAPKL @ Publika - Black Box for a site visit before confirming the location as their event venue. Besides, the students were able to plan the event set up based on the floor plan given and it is much easier to plan it on the spot as well because the students were able to visualize and take any necessary measurements of the venue. After a discussion among all students, the whole team were able to agree on a floor plan for the event.


As seen below is the entrance that the students have decided on as the venue has 3 different entrance. This entrance was selected as it already have a reception counter that comes with it and this entrance is the most visible entrance among the 2 other entrances.

As seen below is another entrance which the students decided to have it as the exit of the event. There are a few reasons the space below did not make it as the entrance as the space was hot when the student visited because it does not have any air conditioning. Besides, there is no any reception counter that comes with it. Besides the entrance is not as presentable as the selected entrance shown above.

Photo as seen below is the hallway of the last entrance. As seen in the image below, the hallway is dark as there is no lighting at all and therefore it will be used as the student's storage area. The students will block the hallway with partitions so the participants couldn't pass through.

As seen below is the initial area where the PR team wished to have the event's sponsor's booth. However, the PR team were told by the person in charge of the venue that the area can't be utilized as it is the storage area for the venue's chairs and tiered seating. Hence, the PR team had to find another suitable area for the sponsor's booth.

The subcultures set up will be at the area as seen below. The image below only shows approximately 1/6 of the whole space available to display the subcultures.

Below is the initial floor plan for the sponsor's booth which was mentioned above. According to the floor plan given by the person in charge of the venue, the area was able to be utilized as the area wasn't indicated as their storage area. After visiting the venue itself, the PR team then realized that they needed a new area for the booths.

As seen below is the finalized sponsor's booth floor plan. The marketing team discussed with both creative and production team whether if they needed the new targeted area for sponsor's booth (the corner as seen below in yellow) to ensure the subcultures have sufficient space to be featured as well. After a discussion, area of the booth space have been moved to the corner. The area is big enough to best fit 3 sponsors' booths and maximum, 4 booths. Besides there is a power plug right behind of the booth area. Therefore, the PR team needs to prepare extension plugs for the booth. After measuring the size of the area, the marketing department agreed on having each booth space within the recommended size 6 ft x 6 ft and 7 ft x 7 ft maximum if needed as a gap is needed in between booths for convenience. Besides, the space was selected as it is located towards the end of the venue. The marketing team decided that the sponsor's booth shouldn't be the first thing that the participants will discover as the subcultures are the main content of the exhibition, not the booth. Furthermore, it is better to not have the booth right after the entrance to prevent the participants from forming a crowd around the booth area and eventually blocked the path to enter the exhibition.

This post concludes the process on deciding the event floor plan and how the marketing team solved their unexpected problem for their booth space.
